Welcome to Aquatrace Swimming Pool Leak Detection. These Terms and Conditions govern use of this website, communications submitted through this website, and general information regarding Aquatrace's swimming pool and spa leak detection services. By using this website, requesting information, or engaging Aquatrace for services, you acknowledge and agree to the terms below.

Important — Approved Estimates Control Specific Work For actual booked work, the approved estimate, line item descriptions, and any written addenda signed or issued by Aquatrace LLC control the services, scope, exclusions, pricing, and limitations for that specific project. If any item-specific description, exclusion, limitation, pricing term, or scope statement in an approved estimate conflicts with these general Terms and Conditions, the item-specific language in the approved estimate controls for that item.

About Aquatrace

Aquatrace Swimming Pool Leak Detection is a specialized leak detection company serving residential and commercial pools and spas. Aquatrace is a diagnostics-focused company. Our role is to investigate, test, and help identify the source of suspected water loss so that informed repair decisions can be made.

Aquatrace is not a general pool service company. Unless expressly stated otherwise in writing, Aquatrace does not provide routine maintenance, weekly service, cleaning, resurfacing, renovation, liner installation, excavation, deck restoration, surface restoration, or general construction services.

Services are booked only after Aquatrace issues an estimate or proposal, any required deposit is received, and the project is scheduled.

Nature of Services

Aquatrace provides swimming pool and/or spa leak detection services limited to investigation, testing, and diagnostic procedures necessary to identify and help verify suspected water loss issues reported by the client.

These services are strictly diagnostic in nature and do not include repairs, parts, excavation, deck or surface restoration, or water replacement unless expressly stated otherwise in a separately approved estimate.

Aquatrace may use one or more diagnostic procedures depending on site conditions, reported symptoms, and professional judgment. These procedures may include, where appropriate:

  • Visual and field survey of the pool, spa, structure, interior surface, and accessible equipment
  • Electronic basin scanning
  • Pressure testing and/or cone-and-dye testing of plumbing, circulation, and filtration lines
  • Acoustic leak detection using specialized hydrophone listening equipment
  • Dye testing of fittings, penetrations, cracks, and structural transitions
  • SCUBA-supported underwater inspection and testing when required for safe and effective access
  • Pipe camera inspection of accessible plumbing lines, conduits, or related components
  • Vacuum testing of selected plumbing lines, fittings, or system components
  • Surface and deck microphone listening to evaluate underground leak noise signatures through decking and surrounding hardscape

Not every test will be performed on every project. Only the tests and procedures listed or referenced in the approved estimate or line item description are included in the quoted base price. Within that included scope, Aquatrace determines which procedures are necessary to complete a proper leak analysis.

Estimates, Approvals, and Deposits

Quotes and estimates are generally valid for seven (7) calendar days from the date issued unless otherwise stated. Pricing may change after that time.

Any required deposit must be received before a project will be scheduled. Unless otherwise agreed to in writing, deposits are non-refundable. Deposits help cover administrative time involved in setting up the project, gathering information, reviewing photos and system details, preparing estimates, and coordinating scheduling.

Approval of an estimate or proposal, together with any required deposit, indicates acceptance of the applicable project scope, pricing, exclusions, and written terms.

Scheduling, Rescheduling, and Access

Leak detection visits are scheduled by appointment. Aquatrace will make reasonable efforts to accommodate rescheduling requests received at least seventy-two (72) hours in advance of the scheduled service date. Requests made within seventy-two (72) hours of the scheduled service date are subject to a $150.00 rescheduling fee. Aquatrace also reserves the right to reschedule services as necessary.

If Aquatrace arrives and the required site conditions are not met, the visit may be delayed, partially performed, or rescheduled. Any applicable on-site wait time or delay may be billed at $125.00 per hour with a one-hour minimum, at Aquatrace's discretion.

Client Responsibilities and Site Conditions

To help ensure accurate and efficient service, the following conditions must be met prior to the scheduled inspection unless otherwise agreed in writing:

  • A fully operational 120-volt power source must be available within proximity of the equipment pad or required work area
  • Equipment, including pumps, filters, valves, and accessible plumbing, must be reasonably accessible and unobstructed
  • A functioning garden hose with a standard connection must be connected and ready for immediate use at the pool/spa basin and equipment area prior to arrival; the hose must be positioned so that it reaches all required basin perimeter areas and the filtration equipment perimeter without Aquatrace having to locate, unroll, connect, or otherwise set up the hose, and it must be capable of delivering sufficient water pressure
  • All pool and/or spa covers must be fully removed prior to inspection
  • Water must be reasonably clean, clear, and chemically safe such that main drains and the pool floor are visible from the deck where needed
  • Pets, animals, patrons, guests, or residents must be kept clear of the active work area so the work can be performed safely

If a cover is not removed upon arrival, Aquatrace may, at its discretion, assist with removal at the current hourly labor rate of $125.00 per hour with a one-hour minimum. Aquatrace will not reinstall, fold, pack, or store covers after the inspection.

Aquatrace technicians may decline to proceed if unsafe conditions exist, including unsecured animals, uncontrolled work areas, unsafe water conditions, blocked access, or other site conditions that materially interfere with safe or effective service.

Payment Terms

Payment is due immediately upon completion of service unless otherwise agreed to in writing.

By approving an estimate, submitting any required deposit, and/or providing a payment method to be kept on file, the client confirms that they are an authorized user of that payment method and authorizes Aquatrace LLC to charge that payment method for all amounts due under the applicable agreement.

If the client is not present at the time service is completed, the client authorizes Aquatrace LLC to process payment using the payment method on file and to send a receipt to the email address on file.

If payment is not received in accordance with the applicable payment terms, including payment in full within five (5) calendar days of invoice date where applicable, a late fee of 10% may be applied to the outstanding balance. An additional 3% late fee may apply for every ten (10) calendar days thereafter that the balance remains unpaid. If payment remains delinquent for forty-five (45) calendar days, Aquatrace LLC reserves the right to pursue legal action and/or further collection efforts as permitted by law.

Accepted payment methods generally include cash and credit/debit card. Check payments may be accepted only by prior agreement. Returned checks are subject to a $50.00 fee.

Additional Testing and Non-Standard Systems

Standard leak detection pricing covers only the diagnostic procedures included in the approved estimate and deemed necessary by Aquatrace to complete a proper analysis within that scope.

If a client requests testing that is not included in the approved estimate and/or not deemed necessary for proper diagnosis, additional diagnostic time may be billed at $125.00 per hour with a one-hour minimum, if applicable.

Certain systems and features are outside standard leak detection scope and may require added charges, separate written approval, or exclusion from testing.

Floor Returns and Pop-Up Cleaner Systems

Floor returns and in-floor / pop-up floor return cleaner systems are not included in standard leak detection and are subject to additional charges due to the complexity of their design and operation.

When testing of these systems is requested, the following rates apply unless otherwise stated in writing:

Rate Schedule — Floor Returns & Pop-Up Systems
  • $175.00 per floor return cleaner system (manifold/zone)
  • $75.00 per pop-up return cleaner port
  • $55.00 per standard floor return

Due to the intricate and varied nature of in-floor, pop-up cleaner, and floor return components, and because many parts are plastic, brittle, aged, or chemically stressed, certain components may be susceptible to damage during testing or disassembly. Aquatrace LLC is not responsible for breakage, reassembly, recalibration, or replacement of such components and may recommend that a qualified third-party provider perform any necessary repairs or resets.

If a client declines testing of these systems during the initial visit and later requests a return visit for that purpose, the same fee schedule will apply along with any applicable return-trip, equipment staging, and technician time charges at Aquatrace's standard rates.

Light Niche Limitations

If a leak is identified in or around a light niche, diagnostics are generally limited to the niche housing itself and the light conduit connection point at the back of the niche housing.

Testing of the light conduit or any underground conduit pathway is not included in standard leak detection. In many cases, leaks in this area may be evaluated and, where separately authorized, addressed from within the light niche housing without full conduit testing.

Any additional light conduit testing, electrical work, rewiring, or light fixture replacement will either be quoted separately under a new work order or referred to a licensed third-party contractor, whose work and warranties are solely their responsibility.

Waterfalls, Sheer Descents, and Water Blades

If a leak is suspected in or around a waterfall, sheer descent, water blade, or similar water feature, diagnostics are limited to visible and accessible components, operational observations, and any testing methods deemed appropriate within the approved scope of service.

Formal isolated pressure testing at the waterfall unit connection itself is not included as part of standard leak detection. In many cases, these features are installed in a concealed manner within raised walls, bond beams, or other finished structures, and the plumbing connection at the unit may not be accessible without destructive access or demolition.

Any additional testing, demolition, access creation, repair, replacement, replumbing, electrical work, or specialty contractor work related to these features will either be quoted separately under a new work order or referred to a licensed third-party contractor.

Concealed or Inaccessible Conditions

Aquatrace LLC is not responsible for identifying, testing, or confirming conditions concealed behind finished surfaces, within inaccessible structural areas, or within buried or otherwise inaccessible components unless such access and testing are expressly included in the approved estimate.

Pools and spas may contain hidden conditions, prior workmanship issues, buried plumbing, inaccessible penetrations, concealed structural defects, or inaccessible water features that cannot be fully evaluated without demolition, access creation, excavation, draining, or destructive investigation. Such work is not included unless specifically approved in writing.

Residential and Commercial Scope

Residential and commercial projects may be priced and scoped differently depending on system design, access, feature count, equipment specifications, and overall project complexity. Commercial, community, HOA, hotel, and public-pool work may involve defined inspection allowances, separate surcharges, or special access and safety requirements as outlined in the approved estimate.

Unless otherwise stated in the estimate, any included travel or inspection time applies only to the standard scope included in that estimate and does not automatically include client-requested add-on testing or non-standard systems.

Cold-Water and Hazardous Diving Surcharges

Additional surcharges apply when SCUBA-supported leak detection is performed in cold or hazardous conditions.

Cold-Water SCUBA Surcharge Schedule
  • 50°F to below 60°F — $100.00 per occurrence (one occurrence = single continuous SCUBA working interval not to exceed 25 minutes of subsurface time)
  • Below 50°F — $150.00 per occurrence (one occurrence = single continuous SCUBA working interval not to exceed 15 minutes of subsurface time)

Hazardous diving environments, including but not limited to confined spaces, limited-visibility or dark conditions, overhead obstructions, entanglement hazards, or other conditions that materially increase risk, are subject to a mandatory hazard fee. Hazardous diving fees start at a minimum of $500.00, and the exact amount is determined based on site-specific conditions. Hazard-related terms and charges must be agreed upon in writing before work begins.

Repairs and Third-Party Contractors

Aquatrace is primarily a diagnostics-focused company. If repair work is determined to be necessary, Aquatrace LLC may, at its sole discretion, provide a separate quote for certain repairs under a new work order. Aquatrace may also refer clients to third-party contractors.

Aquatrace LLC is not responsible for the work, scheduling, pricing, availability, or warranties of any referred contractor or other third party. Any repair or replacement performed by others is solely their responsibility.

Component Removal, Disassembly, and Reassembly

Leak detection may require removal or disassembly of certain components such as drain covers, light fixtures, trim pieces, return fittings, or similar items. While uncommon, damage may occur during removal or handling due to age, brittleness, hidden damage, corrosion, or prior installation conditions.

Aquatrace LLC is not responsible for repair or replacement of such damaged items. In some cases, reassembly may require a qualified third-party contractor. At its sole discretion, Aquatrace may offer limited reassembly services for an additional charge if agreed to in writing before work begins.

Warranties, Limitations, and Accuracy of Findings

No warranties or guarantees are offered or implied unless expressly stated in a separate written agreement. Repairs performed by Aquatrace LLC are not warranted unless specified in writing.

Leak detection is an investigative process that relies on physical observations, measurements, equipment readings, site access, water conditions, system conditions, and the limitations of available testing methods. All findings represent Aquatrace's best professional judgment based on conditions observed at the time of testing.

Acoustic and other detection methods may be affected by underground or environmental anomalies. Leak locations should be considered approximate. No testing method is infallible, and Aquatrace LLC does not guarantee that results will be error-free or complete. Aquatrace LLC is not responsible or liable for inaccurate, incomplete, or misinterpreted information, or for costs, decisions, or damages arising from reliance on such information.

In some cases, plumbing leaks can be so large or severe that they mask, overwhelm, or otherwise interfere with the ability to accurately identify additional or secondary leaks in the same line or related system components during a single visit. In such situations, it may be necessary to first repair the primary leak and then perform follow-up diagnostics to evaluate for remaining issues.

Leak detection results are valid only as of the date and time of inspection. Pools and spas are dynamic systems, and leaks can occur at any time due to everyday use, ground movement, settling, freeze/thaw cycles, hydraulic shock, material failure, corrosion, aging components, or later work performed by others.

In all cases, the diagnostic service fee is due upon completion of the scheduled visit whether or not a leak is confirmed, multiple leaks are present, or the reported water loss is ultimately determined to be non-leak related, such as evaporation, splash-out, overfilling, or operational conditions.

Revisit Requests

Although uncommon, it is possible for a new, unrelated leak to develop immediately after a successful leak detection and/or repair, including later the same day. Any such new leak is outside the scope of the original diagnostic visit and is not covered by any representation or warranty of that visit's findings.

If a client believes the original leak detection findings may be inaccurate or incomplete, the client may notify Aquatrace LLC in writing and request that Aquatrace LLC, at its sole discretion, consider a revisit within fourteen (14) calendar days of the initial diagnostic visit. Written notice should include a description of the concern, any observed changes, and any repairs or modifications performed since the original visit.

Any decision to perform a revisit is made solely by Aquatrace LLC. Requests made after the fourteen (14) day period may be declined, treated as a new service call, and/or billed at standard rates.

Any additional leaks or issues identified during a revisit may incur additional diagnostic fees, travel charges, or testing charges, particularly where the additional leak is determined to be new, unrelated, or associated with materially changed conditions since the original diagnostics.
